Advanced order status lets you follow orders the way your shop works: Packed, Waiting for supplier, Ready for pickup, or anything else. An order can carry one of your statuses next to its built-in order, payment and fulfillment statuses, which never change because of it. Order automations set these statuses for you and act on them: when an order is paid, shipped or stuck, they can change its status, email the customer, notify your team, add a comment or call a webhook. The app needs "Advanced order status" on your plan. Pro includes it. See Plan and billing.
Before you start
- Install the app from the App Store: choose Advanced order status, then select Install and Turn on. See App Store.
- Installing changes nothing on your orders. Orders have no custom status until you or an automation give them one.
- Automation runs count against the monthly automation runs of your plan, together with Email automations.
Set up your statuses
Open Settings, then Advanced order status in the Orders group.
Select Start from a suggested list to add Received, Processing, Packed, Waiting for supplier, Ready for pickup and Problem, or Create a status to add your own.
For each status, set its Name, a Category (open, on hold, done or failed) and a Color. Turn on Show to customers and fill in What customers see and A note for customers if customers should see it on their order page.
Optionally choose Allowed next statuses: the order page offers these first when someone changes the status by hand.
Drag the statuses into the order you want to see them in. A status that orders still use cannot be deleted without choosing another status for those orders; you can archive it instead. Archived statuses stay on old orders but cannot be chosen.
Set a status by hand
On an order, select the status pill next to the built-in statuses and pick a status. Tick Notify the customer to email them about the change, and add a note if you like. The order's history shows every change and who made it.
In the order list, add the Status column, filter by status, or tick several orders and select Set status.
Build an automation
Order automations appear in the same Automations list as your email automations, with Orders under their name. The same views and search apply, and selecting a row opens the automation.
Open Automations in the Sales group of the sidebar and select Create automation. On the next page, select Order automation, then pick a ready-made recipe or Start blank. If you do not use Email automations, Automations lists only your order automations and Create automation opens the recipes straight away.
Order automation tells you when something is missing, and then takes you to the app's page in the App Store:
- Install the app to start: Advanced order status is not installed yet.
- Not on your plan yet, with a lock: your plan does not include the app. The app's page shows how to upgrade.
- Open the app to turn it on: the app is installed, but it is not turned on or not set up yet.
Every automation has:
- When: one or more triggers. A status was entered or left, an order sat in a status for a while, an order was placed, paid, shipped, delivered, canceled or returned, a comment was added, or someone pressed a button on the order page.
- If: optional conditions, such as order total, shipping country, products, payment status or customer group. The automation runs when all conditions of any one group are met.
- Then: up to ten actions in order, each with an optional delay. A delayed action checks the conditions again before it runs.
Automations start as drafts. Select Go live when it is ready. Several automations can listen to the same event; the one with the lower priority number runs first.
The Runs tab shows each run, what every action did, and why a run was skipped.
Settings
The app has no settings in the App Store. Everything is under Settings → Advanced order status and Automations.
Good to know
- Your statuses never mark an order as paid, shipped or canceled. Those stay with the built-in statuses.
- An automation that changes a status can start another automation, up to three steps deep, so automations cannot loop forever. The editor warns you when two automations would keep setting each other's status.
- When the monthly automation runs are used up, new runs are skipped until the next billing month.
If something goes wrong
- An automation did not run: open its Runs tab. A skipped run says why, for example its conditions did not match, it already ran for that order, or the monthly runs were used up.
- The Advanced order status pages are missing: the app is not installed, or your plan no longer includes it.
