Bank transfer

Let shoppers pay by bank transfer, keep a bank account per market, show buyers the account and a payment reference, and record the payment when the money arrives.

Where
  1. App Store
  2. Bank transfer
On this page

The Bank transfer app adds a manual bank transfer option to checkout. The shopper places the order, sees your bank details and a payment reference, and sends the money from their own bank. You record the payment on the order when it arrives. It suits stores that sell to business buyers or to shoppers who do not want to pay by card. It works on every plan and in every market.

You keep one bank account for each market, plus a default account for the markets that have none of their own. A shopper always sees the account of the market they ordered in.

Before you start

  • You need the details of the bank account that receives the transfers, for each market that has its own. No contract or API key is involved: the app does not connect to your bank.
  • Somebody has to watch the bank accounts and match incoming transfers to orders by hand.

Set up Bank transfer

  1. Open Apps → App Store and open Bank transfer. New stores have it installed already. If yours does not, select Install. Installing works the same for every app, see App Store.

  2. Select Turn on. The status of the app changes to Active.

  3. Open Bank transfer in the Apps group of the sidebar and add the default account, as described under Bank accounts by market.

  4. Open Settings → Payments. Bank transfer is listed under Payment methods with the status Ready.

  5. Shoppers now see Bank transfer at checkout in every currency, on every domain. See Payments.

  6. Place a test order with bank transfer and check that your bank details appear on the order page of the storefront.

This app has no Check the credentials button, because there is nothing to check with a provider.

If you used Bank transfer before accounts per market existed, the single account you had became the default account on its own. Open the page and check it.

Bank accounts by market

The Bank accounts by market page lists the default account and every market of your store with its account holder, IBAN, BIC, local account number and an example of the payment reference. A market without an account of its own reads Uses the default account.

  1. Select Edit on the Default row. While no bank account is set, the page is empty and shows Add the default account instead.

  2. To give a market its own account, select Add an account for a market, choose the market under Choose a market and select Continue. The button is gone once every market has an account.

  3. Fill in the fields described below and select Save.

To take a market back to the default account, open its account and select Use the default. Nothing else is deleted: the market simply uses the default account again.

The fields of an account:

  • Account holder: the name the account is registered to, usually your company name. It is the only required text field.
  • Bank: the name of your bank, shown to the buyer.
  • IBAN: the international account number. The app checks it, so a typo is caught on saving. Spaces do not matter, and the page shows it in groups of four.
  • BIC: the bank code, 8 or 11 characters. It is also needed for transfers from abroad.
  • Local account number: the domestic account number. The field is offered when exactly one country of the market has a format the app knows, and then the number is checked and the field shows an example. In Hungary that is the giro number, such as 11773016-01234565, which also has a check of its digits. In Poland it is the 26 digit account number. The default account takes a local number exactly as you type it.
  • Reference prefix: up to 10 letters or digits, put in front of the order number. A new account starts with GM.
  • Payment reference: how the reference is built. Prefix and order number gives, for example, GM-1042. Order number in digits only gives 1042, at most the last 10 digits, for markets where banks expect a numeric reference, such as the Slovak and Czech variable symbol.

Every account needs an IBAN or a local account number. The default account is always kept: you can edit it but not remove it.

What shoppers see

The payment step lists Bank transfer with the note that the bank details are provided after the order is placed and that fulfillment happens after the payment is received.

After placing the order, the order page shows a Bank transfer details card with the amount due, the reference, the account holder, the bank, the account number, the IBAN and the BIC. Each value has a copy button. The reference reads Variable symbol when the account uses the digits only format. The details come from the account of the market the shopper ordered in. The card disappears from the order page once you have recorded the payment.

The bank details are not printed in the order confirmation email.

Pro-forma invoice and invoices

If you use Billingo or Számlázz.hu for invoicing, Bank transfer works well with them:

  • On the invoicing app's page, tick Auto-invoice for Bank transfer. The Pro-forma switch next to it is then on by default for this method. In Hungary a pro-forma invoice is called díjbekérő.
  • When a shopper places a bank transfer order, the store issues a pro-forma invoice with the bank details of the market and the payment reference, and emails it to the shopper as a PDF. A pro-forma invoice is a payment request: it is not a tax invoice.
  • When you record the payment, the store issues the real invoice, and the pro-forma is marked as paid.
  • If the order is canceled or edited before it is paid, the pro-forma is voided and, after an edit, issued again.

Which documents are issued, and when, depends on the invoicing rules of the country your business is registered in. See Billingo for the full flow. Shoppers can download the pro-forma and the invoices from their order page.

Day to day

  • The order page in the admin has a Bank transfer panel with the bank details in force and the payment status. If the panel says No bank details yet, the order's market has no account and there is no default account either: add one on the Bank transfer page.
  • When the transfer arrives, find the order by the reference, open it and select Capture payment. See Payments and refunds.
  • Ship the order only after you have recorded the payment.
  • A refund on a bank transfer order is only recorded in the store. You send the money back from your bank yourself. See Refund an order.
  • Changing an account affects new orders only. An order keeps the details it was placed with.

If something goes wrong

  • Bank transfer does not appear at checkout. Open Settings → Payments and check the status. Off means the app is not turned on.
  • The shopper sees no bank details. Neither the market nor the default has an account. Add one on the Bank transfer page.
  • "This IBAN is not valid. Check it for typos." Copy the IBAN again from your bank. The check catches a wrong digit.
  • "Enter an 8- or 11-character BIC." The BIC has 8 or 11 letters and digits, no spaces.
  • "Use the format …". The local account number does not match the format of the market's country. Use the example shown in the field.
  • "Add an IBAN or a local account number." An account needs at least one of the two.
  • "Use up to 10 letters or digits." The reference prefix is too long or has other characters.
  • A transfer arrived without a reference. Match it by the amount and the name of the sender, then capture the payment on the right order.
