Export domestic HUF orders for the documented ACTUAL Webshop Connection XML importer.

You download one order at a time as an XML file and import it into ACTUAL yourself. The app does not send files to ACTUAL, does not issue invoices and does not mark orders paid.

Before you start

  • ACTUAL Ügyvitel with its Webshop Connection module, set up for your company. Try the first files on a test company.
  • The ACTUAL payment codes (FizModKod) and delivery codes (SzallMod) you use, and an ACTUAL service item for shipping.
  • Product SKUs in the store that match the item numbers in ACTUAL.

Set up ACTUAL Ügyvitel

  1. Open App Store in the sidebar, choose ACTUAL Ügyvitel and select Install. See App Store.

  2. Under Settings, fill in the fields described in Settings and select Save. Then select Turn on.

  3. Open ACTUAL Ügyvitel in the Apps group of the sidebar. Choose one of the latest 50 orders under Order and select Prepare export.

  4. Select Download XML and save the file.

  5. Put the file in the import folder of ACTUAL's Webshop Connection module and run the import. Check ACTUAL's acknowledgment and error log: downloading the file does not mean ACTUAL accepted it.

Settings

  • Reserved transaction range offset (keep unchanged): the number added to the order number to make ACTUAL's transaction ID (0 to begin with). If several shops export to the same ACTUAL company, give each one its own range. Do not change it once you have imported orders.
  • Payment provider → ACTUAL payment code (JSON): a JSON object that pairs each payment provider ID of the store with an ACTUAL payment code, for example {"<payment provider ID>": "COD"}.
  • Shipping option → ACTUAL delivery code (JSON): a JSON object that pairs each shipping option ID with an ACTUAL delivery code.
  • ACTUAL shipping service SKU: the ACTUAL service item that carries the shipping fee. No product may use this SKU.

The codes are your own ACTUAL records, so they differ from company to company. In ACTUAL, import with net unit prices to four decimals and the normal Hungarian VAT rates.

Good to know

  • Domestic orders in HUF with one shipping option, one payment provider and a 5, 18 or 27% VAT rate on every line, including paid shipping.
  • Business buyers need a valid, complete Hungarian tax number.
  • Downloading an order again gives the same transaction ID, so ACTUAL's duplicate check skips an order it already imported. Keep that check on. Changes to an imported order are not sent again: update them in ACTUAL.
  • Canceled orders, store credit, split payments, pickup points, foreign currencies and special VAT rates need manual handling.

If something goes wrong

  • The page shows an error instead of the download: check the ACTUAL codes for the order's payment and shipping, the domestic billing and delivery addresses, the tax number, the SKUs, the VAT rates and the totals.
  • ACTUAL skipped the order: it already holds a transaction with that ID. Check whether the order was imported before.
  • ACTUAL reports an unknown code or item: add the code or item in ACTUAL, or correct the pairing in the app's settings, then download the file again.
