Klea can always read your store's data. What happens before it changes something depends on the permission mode you choose. When a change needs your consent, Klea shows an approval card and waits.

Choose a permission mode

  1. Open the Klea panel and select Open full view.

  2. Find the mode buttons under the message box.

  3. Choose Manual, Accept standard or Auto.

The selected mode is highlighted and applies from your next message. It is remembered in this browser.

What each mode does

  • Manual: every change to your live store asks you first. Draft edits that you publish yourself run on their own, and reading is always allowed. Choose this when you want to see everything before it happens.
  • Accept standard: everyday changes run on their own. Deletes, money moves and the changes your store always checks still ask you. This is the default.
  • Auto: every change runs once a separate reviewer clears it. Deletes, money moves and the changes your store always checks still ask you. The reviewer sees only your own messages and the pending change. If it refuses a change, the change is not made. If it is unsure, Klea asks you in the chat before trying again. After three refusals in a row, Klea stops and asks you.

Draft edits, such as changes to a theme draft, run in every mode because nothing reaches your customers until you publish the draft yourself. Publishing always asks.

What always asks

Refunds, payment captures, cancellations, every delete, publishing the theme, fetching files from a link and every action on your always-ask list ask for your approval in every mode, including Auto. No mode skips them, and the reviewer never decides them. You can add actions to the list in AI agents and connected tools.

Moving money also needs more care when you answer: approving a refund, a capture or any delete asks you to confirm it's you first.

Approve or decline a change

When Klea needs your consent, a card titled Approval needed appears in the conversation and the run shows Waiting for your approval. The card is the same request you find under Agent requests, so you can answer it in either place.

  1. Read the card. It says what Klea wants to do and lists the key values, for example a name, an SKU, an amount or an email address. Select Show more to see all fields.

  2. To allow the change, select Approve. If it moves money or deletes something, confirm it's you when asked. Klea carries on and reports the result. The change runs with exactly the values on the card.

  3. To refuse it, select Decline. You can type a reason under Reason (optional), then confirm with Decline. Klea reads the reason and adjusts, and does not try the same change again unless you ask.

The answered card stays in the conversation, marked Approved or Declined, as a record of what you decided.

Good to know

  • Klea never has more rights than you. Whatever the mode, an action your role does not allow is refused.
  • You cannot edit a change on the card. Decline it, say what should be different, and Klea proposes it again.
  • A card you do not answer keeps waiting, but not forever: a request that moves money expires after 30 minutes, any other after 24 hours. An expired request never runs, and Klea does not retry it on its own.
  • Storefront design and code changes are saved into the theme draft. Customers see them only when the theme is published, and publishing always asks. The approval shows how many files change and a preview link.
  • In developer mode a fourth mode, Plan, appears. Klea then reads and drafts a plan and sends no change to your store at all.
  • The mode covers Klea in the admin. Outside AI tools that you connect have no mode: they follow the rules in AI agents and connected tools. The inbox AI that answers customers has its own settings. See AI replies.

If something goes wrong

  • "This approval was already applied." You or a colleague already answered the card, for example in another tab.
  • Klea did something without asking. The change counted as everyday in Accept standard, or the reviewer cleared it in Auto. Switch to Manual for full control, or add the action to your always-ask list.
  • "Not approved. Approving this request needs you to confirm it's you." Confirm it with your passkey, authenticator code or password, then press Approve again.
  • The mode buttons are missing. They are on the full Assistant page, not in the small panel. Select Open full view.
  • "The assistant can't run this request right now." The request was not allowed. Rephrase it, or check your role under People and roles.
