# Business accounts

Sell to companies with several buyers, payment terms and credit, quotes that the buyer can pay in the checkout, contract prices and orders you place for a buyer.

- Where: Customers → Companies

The Business accounts app lets a company buy from you as one account. A company has several buyers, its own payment terms and credit limit, and can ask for quotes and pay them in the checkout. You can give it fixed prices and place orders for its buyers yourself. Companies build on [wholesale tiers](https://docs.poltura.com/en/customers/wholesale-tiers/). The tier sets the company's prices, minimum order and allowed payment and shipping methods. You can override the last three for one company.

The app adds **Companies** and **Quotes** under **Customers**. Install it from the [App Store](https://docs.poltura.com/en/apps/#install). Payment terms, quotes and contract prices each depend on your plan. A screen your plan does not include says so, and the rest keeps working.

_Companies and Quotes appear under Customers in the sidebar._

## Business sign-up

Whether shoppers can register as a business is set under **Settings → Customer accounts**, in the **Business buyers** block, with **Business sign-up**:

- **Off**: shoppers sign up as consumers. Checkout still takes company details for invoices.
- **Optional**: shoppers can choose "I buy for a business" and add their company details.
- **Business buyers only**: every account is a business account, and only signed-in business buyers can order. Customers who signed up as consumers add their company details before their next order.

Select **Save** to apply it. The same block links to **Company account settings**, described under [Settings](https://docs.poltura.com/en/apps/b2b/#settings). With **Off**, businesses cannot apply for a company account, whatever you choose there.

## Companies

**Customers → Companies** lists every company with its status, tier, payment terms, credit used and number of contacts. The **Pending approval** tab shows companies waiting for your decision.

A company comes into the list in one of two ways:

- A buyer applies from the Open a company account page of their storefront account. The company waits for your approval, unless your [settings](https://docs.poltura.com/en/apps/b2b/#settings) approve it at once.
- You select **New company**. Enter the **Company name**. Optionally add the **Tax number**, the **Main contact** (email and name), a **Tier**, **Your reference** (an id from your accounting system) and **Notes**. A company you add is approved right away. The main contact becomes the company admin and gets an invitation. The tax number needs the main contact. It is checked with NAV or VIES: a Hungarian tax number or an EU VAT number.

1. Open the company from the list.
2. Select **Approve** if the company waits for your decision. Until a company is approved, its buyers cannot order on account.
3. Under **Contacts**, invite the people who buy for the company: enter their email, name and a role, then select **Invite**.

A contact is a **Company admin** or a **Buyer**. A company admin also manages the company's colleagues on the storefront. The company always keeps at least one admin.

An invitation shows as **Invited** until the person accepts it. They accept from the **Invitations** page of their storefront account after signing in. You can withdraw an invitation or change a role in the same list. Select **Remove** to take a contact off the company.

To pause a company, select **Suspend**. Its buyers can no longer order on account until you select **Approve again**.

On the company page, the **Details** block changes the name, tier, reference and notes at any time. Changing the tier moves the company's buyers to the new tier's prices. The **Business details** block shows the legal name, the tax numbers and when they were last checked, with **Check now** to check them again.

## Payment terms and credit

On the company page, **Payment terms** decide when the company pays for orders it places on account.

- **Payment terms**: **Paid in advance**, or 8, 15, 30, 45 or 60 days. Choosing days turns on the **Pay on account** payment method at checkout for this company. Pay on account must also be switched on for the market under **Settings → Payments**.
- **Require a purchase order number**: checkout asks for a PO number before the order goes through. The number can have up to 60 characters.
- **Hold orders for review**: the company cannot check out directly. Its buyers request a quote from the cart instead, and the order comes into being when they accept your quote. This needs quotes in your plan.
- **Credit limit**: the most the company may owe at once, per currency. Leave it empty for no limit. If you set a limit for one currency, an order in a currency without a limit cannot be placed on account.

**On-account orders** lists what the company owes, with the amount, the due date and the days overdue. When the money arrives, select **Mark as paid** and confirm. You need permission to manage orders for this. The same **Payment terms** panel and **Mark as paid** button appear on the order page.

### Overrides

Under **Overrides** you replace the tier's terms for this company only:

- **Minimum order value**, per currency. Empty uses the tier's.
- **Payment methods** and **Shipping options**. Leave them empty to use the tier's methods.

## Quotes

A buyer asks for a quote from their cart with **Request a quote for this cart**, or from the **Quotes** page of their account. You can also create one for them with **New quote**. **Customers → Quotes** lists all quotes with their company, status, total and the date they are valid until. Tabs filter by status: **Requested**, **Needs your reply**, **Waiting for the buyer**, **Awaiting payment**, **Accepted**, **Rejected** and **Expired**. **Requested**, **Needs your reply** and **Awaiting payment** show a count. Open **All quotes** on a company to see only its quotes.

1. Open a quote that needs your reply.
2. Change the lines, quantities and unit prices. Prices are net or gross, the way the company's tier shows them, and the column says which. Under each price you see the list price and the tier price. A line left without a price uses the product's price. A line for a product that was deleted says so, and you can only remove it. A quote holds up to 200 lines.
3. Optionally choose a shipping option and its price, and the **Valid until** date. Empty means the number of days you set in the settings, 14 by default, from when you send it.
4. Select **Save and send to buyer**, or **Save** to keep working. **Withdraw quote** takes a sent quote back.

### The conversation

Use **Messages** on the quote to talk to the buyer before they decide. Type under **Reply** and select **Send reply**. Colleagues of the buyer can write too. When the buyer replies to a quote that waits for them, it moves back to **Needs your reply**. A message can have up to 4 000 characters, and a conversation up to 500 messages. A closed quote takes no more messages.

### When the buyer accepts

What happens depends on the company, its plan and the market:

- **The company pays on account.** Its payment terms are not **Paid in advance**, the plan includes payment terms and Pay on account is on in the quote's market. The buyer selects **Accept quote** and the order is placed on account at once, due after the company's payment terms. The credit limit, the purchase order rule and a paused company are checked as at any other on-account order. The quote becomes **Accepted** and links to the order.
- **Every other company pays at checkout.** This is a prepaid company, or one whose plan or market has no Pay on account. The buyer selects **Accept and pay**. The quote becomes **Awaiting payment**, and the buyer lands in the normal checkout with the quote's products, prices and shipping fixed. They pay with any payment method of the market that the company is allowed to use. The order is placed when the payment succeeds, and only then is stock reserved. The quote becomes **Accepted** and links to the order. The invoicing apps then issue the documents as for any other order: see [Bank Transfer](https://docs.poltura.com/en/apps/bank-transfer/#invoices) for what a bank transfer order gets.

Because you prepared the quote, it is not held to the tier's minimum order, to quantity rules or to shipping limits. The company's allowed payment methods still apply.

### Awaiting payment

While a quote waits for payment, its **Payment** block shows when the payment was requested, the **Pay by** date (the quote's valid until date), and when the **Last email** went out. The prices stay fixed until the buyer pays, you withdraw the quote or it expires.

- Accepting sends the buyer a **Pay for your order** email with a **Pay now** button. The link signs the buyer in. The email says that it is not an invoice, when an invoicing app is on.
- **Resend payment email** sends it again. You can resend only every few minutes.
- A buyer who leaves the checkout finds **Pay now** on the quote in their account, which opens the same checkout again. They can also decline the quote.
- **Withdraw quote** stops the payment link and lets you edit the quote again. It does not work while the buyer is paying: wait a few minutes.
- A quote that passes its date expires, and its link no longer pays. Sending it again gives it a new date.

The buyer's own cart is set aside while they pay the quote and comes back afterwards. In the quote checkout they cannot change the lines, the prices or the shipping, and cannot add discount codes.

## Contract prices

Contract prices are fixed prices for one company. The lower of the contract price and the tier price applies. On the company page, select **Edit contract prices**, add products, and enter a **Price** per currency and an optional **From quantity**. A company can have at most 2 000 contract prices. Saving replaces the whole list. If your plan stops including contract prices, the list is paused and comes back when you are on a plan that has them.

## Order for a buyer

Open **Create order** on a company, or **Order for a buyer** on the Companies page, to act for a buyer. **Close** takes you back to where you came from.

1. Choose the **Company** and the **Buyer**, and the **Market**.

2. Add the **Products**. Each line shows its unit price, the line total and whether the quantity fits the product's rules. Below the products you see the subtotal, the VAT and the total, and the credit the company has left after this order. Shipping and its VAT are added when the order is placed.

3. Choose a **Shipping option** and write an optional note for the buyer.

4. Choose how the order goes ahead, then confirm:

   - **Send as quote** waits for the buyer to accept it, as described above.
   - **Send payment link** fixes the order. The company gets an email to pay the total, and the prices stay fixed until the date shown. The buyer pays with any payment method of the market.
   - **Place order on account** places the order at once, within the credit limit. You confirm the total and the due date first.

If the company requires a purchase order number, enter it before you place the order. A company that pays in advance can only get a quote or a payment link, and so can any market where Pay on account is off. The page tells you why. A payment link needs another payment method in that market.

## Account applications

When **Registration** is **Approval required** under **Settings → Customer accounts**, every new customer account waits for you here before the customer can sign in. Open **Settings → Customer accounts → Account applications**: **Approve** lets the customer sign in, **Decline** keeps them out. Either way the customer gets an email. Accounts opened before you turned approval on are not affected.

## Settings

Open **Settings → Customer accounts → Company account settings**, or **Settings** on the Companies page, to decide how businesses get a company account and what new companies start with.

- **Applications**: with **Any business can apply**, signed-in business buyers apply from their account. With **Only companies you add**, nobody applies. **Approval** decides whether **You approve each company**, it is **Automatic for verified tax numbers** (companies whose tax number NAV or VIES confirmed are approved at once), or **Automatic for every company**. **Company admins can invite colleagues** lets a company's admins add their own people.
- **New companies**: the **Tier**, **Payment terms** and **Credit limit** a new company starts with. When every company is approved automatically, new companies start on prepaid terms.
- **Ordering**: turn **Quick order** and **Buyers can request quotes** on or off, and set how many days a quote stays valid.
- **Payment reminders**: with **Remind buyers about overdue invoices**, buyers get an email the day after the due date, then weekly, at most three times.

Save with the save bar. Default payment terms, credit and reminders need payment terms in your plan, and the quote settings need quotes. When **Business sign-up** is **Off** under [Business sign-up](https://docs.poltura.com/en/apps/b2b/#sign-up), businesses cannot apply, whatever you choose here.

## What your buyers see

Approved companies get these pages in their storefront account: **Company account** with terms, credit, open invoices and colleagues, **Quotes**, **Quick order** and **Invitations**. An order page offers **Reorder**.

- **Quick order** takes one product per line, a SKU and a quantity, and shows a preview before anything goes into the cart. Each line is **Ready**, changed to a quantity that fits the product's rules, or marked as an unknown item number, a product the buyer cannot buy or out of stock. It takes up to 200 lines at a time.
- A pending company sees that the store is still reviewing its application. A suspended company can keep shopping at regular prices.

## If something goes wrong

- **"Your plan does not include this feature."** Payment terms, quotes or contract prices are not part of your plan. The rest of the app keeps working.
- **"The company is not approved yet."** Approve the company before you invite buyers or place an order for it.
- **A buyer cannot pay on account.** Check that the company is approved, has payment terms other than paid in advance, is not held for review, and has credit left in the order's currency. Pay on account must also be on in the market.
- **"A PO number is required."** The company requires a purchase order number. Enter it, or turn the requirement off on the company page.
- **"Your company's orders are reviewed by the store."** The company is on **Hold orders for review**. The buyer requests a quote from the cart, or you turn the option off.
- **"This market has no payment method a buyer could pay with."** A payment link or **Accept and pay** needs another payment method than Pay on account in the market. Switch one on under [Payments](https://docs.poltura.com/en/settings/payments/).
- **"The buyer is paying right now."** Resending, withdrawing or declining waits for a payment in progress. Try again in a few minutes.
- **Mark as paid or Place on account is missing.** These need permission to manage orders. Ask the store owner for it.
- **"Too many invitations were sent."** A company can be sent 20 invitations per hour. Try again later.
- **"A product on this quote no longer exists."** Remove its line and save.
